TOP TIPS OF THE MONTH
DO YOU KNOW THE REAL REASONS YOUR STAFF PROCRASTINATE?
Each month we offer a few new and helpful time management tips to get you results.
We all procrastinate much more than we’d like to admit. This is why it’s important to look at some of the reasons why we do in order to address them properly. You will never eliminate the problem entirely but you can learn how to minimise its effect on productivity.
The usual strategies for tackling procrastination (such as setting a deadline, planning and do the most unpleasant thing first) don’t work for many accountants. This is because they don’t take into account the underlying reasons for procrastination in an accounting firm.
Before you can deal with procrastination you need to understand why you and your staff are avoiding particular jobs and tasks. These are the five most common reasons for procrastination in accounting firms:
- The job is messy: there are so many problems with record keeping and errors that you don’t know where to start.
- Not sure how to complete the job: Sometimes staff feel out of their depth or don’t have the technical knowledge or experience to complete these jobs properly.
- Concern about the result: Often accountants avoid completing a job because it becomes apparent that the result (e.g. high profit and large tax bill or low profit and issues with the bank) will mean they have to tell the client something they don’t want to hear, so they avoid finishing the job.
- Potential confrontation: Situations that could cause conflict arise when there are client complaints, staff issues or bad news needs to be delivered to clients. Not all accountants are fearful about dealing with them but there is still a large proportion who are. So if we think a task will put us in a situation of potential confrontation then we will avoid it.
- The client is difficult to deal with: None of us look forward to dealing with a difficult client who will always find fault and make our dealings with them unpleasant.
Once we have identified the real reasons for avoiding certain tasks then we can tackle these issues at their source. So, what steps can you and your team take to deal with procrastination?
